A quick view of your services and billing preparation.
Quick actions
Claim submission
Generate a flat-file claim, review it, and open Ohio eMBS to upload it securely.
Automated direct submission is not enabled.
Client Profiles
Save up to five clients and reuse their details in Time Log, Mileage, and eMBS Claims.
Add client
Profiles are saved only in this browser's local storage, not encrypted or synced. Do not use a shared computer for Medicaid identifiers. Clearing browser storage can erase profiles.
Saved clients
Time Log
Add visits and review weekly service hours.
Manage names and billing details on the Clients page.
Use Start Now / End Now, or enter the date and times manually. Review before saving.
How a code is billed (15-minute, daily or mileage) is set once on the eMBS Claims page and remembered for that code.
Mileage
Track transportation trips and prepare ATN units.
Saved places and your last 20 trip addresses appear in both menus. Choose an existing route to reuse its recorded miles; Google Maps connection enables fresh route calculations.
Enter both locations, then calculate distance.
Enable automatic mileage calculation (Google Maps API key)
Enable Maps JavaScript API, Routes API, and Places API (New), with billing enabled. Use a website-restricted key. Keys entered here last only for this session.
Reports
Review your work across any date range.
eMBS Claims
Build and download the flat-file for Ohio eMBS.
Time Log visits automatically calculate 15-minute billing units from recorded hours and minutes, using 7/8-minute midpoint rounding. Review the generated units, authorized service code and rate before submitting.
Choosing a client fills recipient name, Medicaid number, contract number and county code where available. Confirm before generating claims.
Monthly limits depend on PAWS authorization. Enter values from the approved plan; this app cannot retrieve them. Daily checks use claim lines currently prepared in this file. Other providers' claims and previously uploaded claims are not available.
Help & Instructions
Choose a feature to learn how to use it independently, or follow the complete workflow.
Time Log — Track visits
- Select a saved client from Clients, or create one first.
- Choose the service date and type.
- Tap Start Now at the beginning and End Now at the end, or enter both times manually.
- Review the times and tap Save. Use the weekly view to edit a visit.
- For an eligible 15-minute service, tap the visit's eMBS action or send the selected client's week to eMBS Claims. The app calculates units from worked time using the 7/8-minute rule.
Time Log is not an official EVV record. For EVV-required services, complete visit verification in Sandata or an approved EVV system separately.
Mileage — Calculate or record trips
- Select a client (if applicable) and trip date.
- Select saved From and To addresses, or enter new ones.
- Connect Google Maps using your own authorized API key when required, then tap Calculate miles. You may also enter actual miles or odometer readings manually.
- Use Round trip when applicable. Review the result, then Save the trip.
- To prepare mileage billing, choose the month and tap Fill eMBS form (ATN). Review the dates and units on the Claims page.
Calculated route distances are estimates. Confirm trip eligibility, actual travel, and PAWS authorization before billing. Google Maps needs internet access.
eMBS Claims — Use independently
- Open eMBS Claims without using Time Log or Mileage.
- Select a saved client to fill Medicaid number, recipient name, contract number, and county code; or enter authorized details manually.
- Enter the correct service code, rate, billing units, and service date(s).
- For multiple days in one month, use Specific days, for example days 02,04,06 with corresponding units 12,16,8.
- Check PAWS authorization, appropriate limits, and entries; tap Add claim line(s).
- Review and save the .txt file, then sign in to the official eMBS portal and upload it.
This app generates a file only: it does not submit claims, verify eligibility, or confirm payment. The provider is responsible for billing correctness.
Combined workflow — Time + Mileage + Claims
- Save your client profile, including eMBS identifiers.
- Record the service in Time Log and review the clock-in/out times.
- Record any separately authorized transportation/mileage in Mileage.
- Send the client's visits to eMBS. Confirm the automatically calculated units and their corresponding service dates.
- Send mileage to eMBS as a separate eligible ATN claim when appropriate.
- Check the service code, rate, PAWS limits, potential duplicates, and required EVV verification. Add claim lines.
- Download the completed eMBS file, upload it through the official portal, and check its status there.
Do not bill a trip or visit twice. EVV submission, official eMBS submission, and claim payment are separate processes.
Privacy & data security
Operational records in the main Clients, Time Log, Mileage and eMBS forms are stored only in this browser. They are not synchronized to other devices, and local storage is not encrypted. Do not enter real client or Medicaid information until appropriate security, backup, and privacy safeguards are implemented and reviewed.
